Sometimes you may want to replace a course in a curriculum with a new training, but you want to make sure that you don’t disrupt the due date schedule for enrolled learners. This is the perfect opportunity to take advantage of the system's course swap functionality. Here’s how it works.
Let’s say your organization has a course that you update every year with brand new material. You don’t want to lose the material from previous years, so each year you create a brand new course for your updated content. But when you create that new content, you want to slide it into each user’s profile – so if Archie completed his annually recurring Corporate Compliance 2013 training in October 2013, his Corporate Compliance 2014 training will now be due in October 2014.
All you have to do to easily replace one course with another is to click on the “swap” button next to the course you’re replacing. Please be aware that this button only shows up if you have users actively enrolled in the curriculum, since this feature is unnecessary for curricula that have not yet been associated with learners.
Go to TRAINING & ENROLLMENT > Curriculum & Enrollment and click on the title of the curriculum you would like to edit. Scroll down to the Course section of the page. Select the Swap icon next to the course you would like to replace.
Now select the new course you want to use. The Relias LMS will take care of the rest.
Swap can be used for non-recurring curricula, but you should use more caution here. The course swap feature allows you to replace one training with another without disrupting the due date, but the system cannot apply a completion for one training to another. So if Archie had completed Corporate Compliance 2009 as part of his New Hire Training, and you then replaced the course with a 2010 version, the RLMS will require Archie to complete the 2010 course- in a non-recurring curricula.
