Orientation - Nonrecurring Reassignable Training Plan

Please supplement the Training Plan articles with our Creating Successful Training Plans  and Creating an Orientation Training Plan videos, available in our Video Tutorials section. 


Creating a Training Plan

In order to begin creating your training plan, click on Learning > Training Plans > Training Plan List > New Training Plan.




This will bring you to the Training Plan Properties page.  This page is broken up into four steps:

  1. Basics
  2. Scheduling
  3. Modules
  4. Settings


Step 1: Basics

A unique title is required for each training plan you create within your Relias site. A description is not required, but is a useful location to provide information related to the purpose of the training plan.


Step 2: Scheduling

To build an Orientation-  Non Recurring Reassignable Training plan, you'll first need to indicate that the sequence should not recur.

Please Note: Once the training has been saved and finalized, you will not be able to change the recurrence from Nonrecurring to Recurring





The initial due date for an Orientation – Nonrecurring Reassignable training plan can be based on three different options.

  1. Date the user is enrolled in the training plan (e.g., 30 days after enrollment)
  2. User’s hire date (e.g., 30 days after date of hire)
  3. Fixed to a specific date (e.g., April 1.  Visit Fixed Non-recurring for more information)

With the first two options, you can choose the amount of days after the hire or enrollment date the modules should be due. For the third option, after choosing your module(s), you can choose the specific dates that the module(s) should be due.  Please see Step Three – Modules for more information regarding fixed due dates.





Step 3: Modules

Next, you will begin adding modules to the training plan.  To do this, click on the "+Module(s)" button and search for the modules you want to add.



Clicking on +Module(s) will bring up a pop up that lists all of the available modules in your site.  You can search modules much like you do with learners. You can search using words that may be included in the title.  You can also filter using the three default filters or by clicking on the "+Filter" button above Module Type to reveal other filters. Once the modules have been chosen, click on the check box beside the name and click +Add to List.



Close the window when you have added the modules.  You will now have the ability to choose either the due date offset (if you selected an initial due date based on enrollment date or hire date) or a fixed date (if you selected an initial due date based on a fixed specific date) for each of the modules.


Please Note: Credit hour totals will be listed in the training plan Modules section based on the credit hours listed in the Properties tab. This may not be an accurate reflection of any potential CEU credits as those vary.




Due Date Offset - for Hire Date or Date of Enrollment scheduling


You will see a column for Due Date Offset after adding modules to the training plan.  This field allows you to stagger the due dates beyond the initial due date your Learners receive at the time of assignment.  For example, you want to create a training plan for new employees using due date offsets so that one module is due 30 days after hire, the second module is due 45 days after hire, and the third module is due 60 days after hire.  In Step 2, the original due date was chosen as 30 days after the Learner is enrolled in the training plan. To make the first due date 30 days after hire, you would choose 0 days after initial due date because the initial due date is defined in Step 2 as 30 days after the user's hire date.  To make the second due date 45 days after hire, you would enter 15 day(s) after initial due date in the Due Date Offset section.  Since the initial due date is 30 days after hire, and you have offset this by an additional 15 days, the due date for the second module will now be 45 days after hire.  For the third module, you would enter 30 day(s) after initial due date in the Due Date Offset section to make the course due 60 days after hire. 


Fixed Specific Date Scheduling

After the modules have been added, you will see that you can choose a specific date for the modules to be due.

Please Note:  If an assigned module has a due date of 3/31/2017, but a Learner was enrolled in the training plan on 4/4/2017, the first due date for this module will be 3/31/2018 because the due date for 2017 has already passed.


Step 4: Settings

The options given in the Settings section will vary depending on the type of training plan you are building.  This will be the section that allows you to choose a couple of things:

  • How soon the modules will be available to the Learners before their due dates
  • If modules completed outside of the training plan can be credited towards requirements in the training plan
  • If the Learner can only be enrolled in the training plan once  (Training Plans - One-Time Only Training Plan )
  • If reminder emails will be sent to Learners
  • If the training plan is approved for enrollment


Please note: Relias best practices are the default settings, these serve as a guide to help make the training plan creation process easier. Settings may be changed if needed.


How Should Modules be Available?

  • Always Available: Choose this option if you would like enrolled Learners to have access to the modules immediately, regardless of the due date.
    • Only Available ___ Days Before Due Date: If you would like to restrict enrolled Learners' access to the modules up to a certain number of days before the module due date, choose this option.  Simply enter the number of days before the due date you want the modules to be available.  For example, if the module is due 1/31/2015, and you enter Only Available 30 Days Before Due Date, the module will become available to Learners on 1/1/2015. (Note: the limit to the number of days before modules can be available is 3650 days maximum)


When do Modules Completed Outside of this Training Plan Enrollment Count Towards this Requirement?

    • Days Prior To Training Plan Enrollment (formerly Reporting Start Date): all training plans training plans except training plan that have the one-time only setting enabled feature this option.  This indicates, at the time of enrollment into the training plan only, how far in the past the system should look by default when considering whether or not to apply previous module completions toward the training plan requirement.  For example, many of your Learners may have completed a module in March, either as an elective or as part of another training plan. The following December, you enroll Learners into a training plan that includes that same module.  If you set this setting to 365 days prior to training plan enrollment, the system will apply completions within the previous 365 days toward the training plan requirement when Learners are enrolled.  Those Learners will not be required to complete the training again.  If a Learner completed the module, but did so more than 365 days ago, he/she will have to complete the training again (Note: the limit to the number of days prior to enrollment is 22000 days maximum). If you do not want to count previous completions at all, leave the number of days as 0. 
    • Days Prior to Module Due Dates: this option allows you to set the completion window to look back a specified number of days before the due date, regardless of whether it was completed in the same calendar year as the due date.  It can also reject a completion if it falls outside of the window the Administrator has determined.  For example, if the Days Prior to Module Due Dates setting is set to 90 days for a module due on January 30, 2018, a completion of the module on November 3, 2017 would count toward the January 30, 2018 requirement, and the next due date would rollover to January 30, 2019.  However, a completion of the module on October 3, 2017 (outside of the 90-day window) would not count towards the January 30, 2018 requirement.


One-Time Only

Select this feature if you would like the training plan to be one-time only, meaning that once a Learner completes the training plan, he/she can never be enrolled in it again.  If you can foresee a likely scenario where a Learner might have to retake a training plan, you should not check this box.  If you want to make sure the Learner can never be asked to retake the training plan after it is completed, you should set it to one-time only by checking the box.  Please keep in mind that if this option is enabled, the system will automatically look for and apply credit for any past completions of the modules within the training plan.  For example, if a Learner already took 1 of the 3 modules in the training plan, that Learner will only have to take the 2 modules he/she has not yet taken.



Remind Learners/Send Warning Emails

Warning Emails are enabled by default, if disabled no warning emails are sent. With this setting enabled, warning emails pertaining to your Learners' due dates are set to the following delivery schedule:

  • The first warning email is sent 30 days prior to a module's due date  
  • Follow-up emails will be sent once per week until the relevant modules are complete, on your company's selected mail date. 
  • It is important to note that warning email begin date and frequency cannot be adjusted.



Approved for Enrollment

If you want to save the training plan, but want to continue to modify the training plan and not allow Learners to be enrolled in it, you can select No.  This will prevent the training plan from displaying to Learners in your site as available for enrollment.  You cannot un-approve a training plan that has actively enrolled Learners.  When you are ready to make this training plan available for enrollment, change the selection to Yes.


Once you have completed the steps, click Finish.  This will finalize the building component of your training plan and take you back to the Training Plan List tab. 

  If you are ready to begin enrolling Learners, go to the Training Plan you just created, and select the  blue graduate cap icon on the right hand side of the training plan list. 


Remember:  Each property you set at the training plan level will be true for ALL modules in the training plan.  If you have a training that needs to carry a different property than the other modules in the training plan, you will need to create a new training plan.
