Recording Attendance for a Live Event

After a Live Event has been completed (a Learner has attended the session, completed the final exam, or both, depending on the settings you selected), you can record their attendance for a session.

 

While viewing the Session Enrollment or Event Management pages, check the box (or boxes, if you are recording the same Attendance result for multiple Learners) next to the Learner's name.  This will activate the Record Attendance option at the top of the list.  Click Record Attendance.

 

 

A pop-up window will appear with 3 options for attendance.  The options may vary depending on the Completion Options you selected when Creating a Live Event.

The explanation here will cover an Attendance Only Event, but other explanations are listed in the next section.

  • Attended - This should be used for Learners who attended the session live.  Generally, a score of 100 is given for full participation.  Enter a Completed date (usually the day they attended).
  • Missed - Learners who did not attend the Event, but were not excused by a Supervisor or Instructor. Marking them as Missed will give them a Pending status, and make them eligible for enrollment into another session.
  • Excused Absence - Learner who did not attend the Event, but were excused by a Supervisor or Admin.  They will also show as Pending, so they can be enrolled into another session. 

 

If a Learner is marked as Attended, the Session Enrollment will look like this:

Recording Attendance (Dependent on Completion Options and Event Properties)

Depending on the type of Completion Options that were selected for the Event on the Event Properties tab, you will have one of several options for recording attendance (as an Administrator, Instructor, or Enrollment Management Supervisor).

 

For clarity: when setting up the properties of the Event, there may have been an option to Allow an Administrator, Instructor or Supervisor (A,I, or S) to override the system.  Below, if it says Override Enabled, it means that if you checked Yes to allow an A, I, or S to override.  If it says No Override, it means that you do not want your A, I, or S to override the system.

 

 

  • Attendance Only Event:
    • This will not have the Override option, as the only way a Learner can be given completion is to have an A, I, or S manually record their attendance.
  • Final Exam Only Event:
    • No Override: Record Attendance button will not do anything but record attendance to the session; Learners must pass the exam to complete the course.
    • Override Enabled: Record Attendance button will prompt the A, I, or S to enter a completion date and grade.  The Learner does not need to complete the final exam, because they are being given credit manually.
  • Attendance & Final Exam
    • No Override:
      • Record Attendance button will prompt the A, I, or S to record the Learner’s attendance.
        • If marked Attended, Learners will be able to access the final exam for event completion. The Learner must still complete the final exam.
    • Override Enabled: Record Attendance button will mark the Learner as Attended and prompt the A, I,or S to enter a completion date and grade.  The Learner will not be required to complete the final exam.
