Warning Emails

This report allows you to generate and send warning emails to Learners and view the most recent date a Learner received a warning email. This report would be best utilized to view what date a Learner last received a warning email regarding currently incomplete assignments.

Note: This report will only display information for courses that are currently assigned and incomplete.  Once a learner completes a course associated with the warning email that was sent, it's warning emails will be excluded from the report.

If you have not already reviewed the training materials on Functions Common to Most Reports please do so before continuing with this report.

Section 1: Filter By Hierarchy allows you to filter your report based on hierarchy levels. If you wish to run the report for all Learners, leave this field blank.

Section 2: Filter by Training Plan allows you to specify which training plan or plans for which you wish to run your report. To choose a training plan, simply click in the box below "Training Plan" to bring up a list of your training plans and click on the one(s) you wish to choose. To run the report for all training plans, leave this field blank.

Section 3: Filter by User Attributes allows you to filter which Learners will be included on the report. To run the report for all Learners, leave these fields blank.

Once you have chosen the desired attributes and filters, scroll to the top of the page and click the "Run Report" button.

Below is an example of a Warning Emails report run for all training plans:

To re-send the last warning email to a Learner or group of Learners, check the box(es) to the right of their name(s) or click the "Select All Learners" button to select all Learners on the report and click "Send Warning Emails." Learners will receive a copy of the warning email showing the specific trainings in the training plans selected sorted by due date.

It is a similar process to re-send a Supervisor warning email but you will check the box(es) under the "Email Supervisor" column. For example, if you wish for Learner Matthew Wilson's Supervisor to receive a warning email alerting him/her of what staff are overdue, select the box to the right of Matthew's name under the "Email Supervisor" column or click the "Select All Supervisors" button to re-send warning emails to all Supervisors. Then click the "Send Warning Emails" button. Supervisors will receive a single email collecting all of their Learners sorted by the Learner name and then due date.

If the "Email Learner" column next to a Learner has a [missing email] indicator, it means that the Learner does not have an email address added to his or her profile. If the column "Email Supervisor" contains a [missing email] indicator, it means that there is no Notifications Recipient set for the hierarchy folder to which that employee belongs.
